About our Therapeutic Community (TC) in Lower Plenty:

OHV’s adult residential rehabilitation program at Lower Plenty provides live-in treatment for individuals, couples and parents with their children (aged 0-12 years old). Operating as a therapeutic community, the values-based program provides a structured environment where up to 143 residents and 30 staff work together to help people make changes and choices on their pathway to recovery.

About this role:

The Administration Coordinator (Procurement) coordinates, purchasing and distribution within the TC. This position will work closely with all TC goods suppliers and service providers to ensure the highest quality goods and services at competitive rates, and support Residents in their related job functions. This position will also work closely with other OHV Residential sites to ensure consistency of purchasing and economies of scale.

Key areas of focus:

  • Coordinate the procurement, purchasing and distribution of:
    - TC office requirements, including stationery and furniture
    - House stock, including nicotine replacement therapy, personal hygiene items, art supplies, bedding, Manchester, cleaning supplies
    - House uniforms, hats, gloves, water bottles and safety wear
    - Electrical equipment and whitegoods
    - Furniture and textiles
  • Ensure stock levels are maintained at an adequate level and tracked via logs and databases.
  • Coordinate the day-to-day activities of residents working in the Stores.
  • Ensure any program fleet vehicles are maintained in good condition, liaising with Head Office in ensuring insurances, leases, maintenance agreements are current. All vehicle related fines, incident reports, logs and maintenance records will need to be reconciled and recorded.
  • Develop and maintain easy to understand checklists for resident use in vehicle maintenance.
  • Coordinating and providing support for the execution of House refurbishment,
  • Respond to telephone enquiries, liaising with relevant stakeholders, including communication with suppliers, maintenance personnel and the public.
  • Assist in the development and implementation of policies and procedures for the effective management of administrative functions.
  • Participate in program activity as a member of the Therapeutic Community.

  • Coordinated the purchase of a range of products and services within the Therapeutic Community.
  • Ensured Vehicle Fleet was maintained, documentation complete, and servicing requirements met.
  • Worked closely with residents, ensuring they were supported in the Stores and Vehicle Co-ordination roles.
  • Maintained a number of store rooms.

Key Selection Criteria:

We are looking for an experienced and organised Administration Coordinator to work closely with the Residents to complement program delivery by providing timely support functions in procurement, as well as coordinate storage within the TC.

To be successful in this role, you must …

  • Hold a Diploma in Business Administration or have a minimum of 3 years’ equivalent experience working in an account’s role.
  • Hold a current Victorian Driver’s License.
  • Demonstrate knowledge and experience in office administration, including accounts payable and receivable functions, record keeping methods, administrative procedures, confidentiality, and privacy protocols.
  • Be able to take initiative and work independently and adaptively to meet changing organisational needs.
  • Have sound information technology skills, including proficiency in the Microsoft Office Suite and use of databases.
  • Have strong organisation and time management skills.
  • Empathy for those whose lives have been affected by problematic alcohol and other drug use/and or mental health disorders.
  • Be able to self-regulate and self-monitor own behaviours, practice self-reflection at all times, display a commitment to realistically assess own personal strengths, limitations, biases, and effectiveness, and remain open to feedback and constructive criticism
  • Demonstrate understanding of the importance and application of inclusive practice when working with people from diverse communities, such as cultures, genders, sexualities, bodies, abilities, spiritualities, ages and backgrounds
  • Demonstrate understanding of the importance and application of intersectionality when working with people from all cultures, genders, sexualities, bodies, abilities, spiritualities, ages and backgrounds
